The ACH Templates screen displays ACH templates that the credit union has created. Templates allow for ACH data to be originated in a reusable format. Templates may be originated manually on as as-needed basis and/or may be setup with a recurring schedule automatically generated by Beastro.
The ACH Templates screen is visible only with applicable permissions.
ACH Templates List Overview
The ACH Templates list shows all of the templates for a member. From this screen, the User may:
- Filter and search for templates
- Originate a template immediately
- Approve or reject a template that has changes
- View the schedule settings of a template
- Review template details
Sorting and filtering is available on all columns. Click the arrow next to the column header to sort the column. The orange arrow indicates which column is currently sorting the information. Search within a column by typing information into various search boxes located just under the column header, or by utilizing the column dropdown, if available. Once the desired search information has been entered, a list of outgoing ACH templates is displayed. To clear filters, click the x located in the search box, or click the Clear filters option at the top right side of the card. To see additional ACH template detail, click the Template ID.
Users will be able to add schedules, automatic recurring origination, onto templates by clicking the Add Schedule hyperlink. Steps to complete this action are found in the Add a New Schedule portion of this article.
Users may also originate templates on-demand from the ACH Templates screen by clicking the Originate button in the Action column of the corresponding template. Once a template has been originated, a second User will need to verify and send the template from the ACH Files screen in the Outgoing Files tab.
Template Approval
Templates awaiting approval will reflect a status of Pending Approval. These templates have been entered by one user and need dual approval by a second user.
- Click the Template ID hyperlink for a template with a Pending Approval status
- Check the appropriate action box (Approve, Reject, or Cancel) for all changes requiring review
- Using the buttons located at the top of the screen or the column header check boxes will select all of the boxes in the column
- Once the changes have been approved, rejected, or cancelled, the User may click the Save button
- Navigate back out to the ACH Templates listing
- The template now displays a Status of Active
Template Maintenance
Clicking the Template ID will direct the User to a screen where various interactions with a template may take place.
Template Name Update
Users may update the name of a template by clicking the Edit hyperlink located next to the template name. An Edit Template pop-up will all the User to provide a new name in the Template Name field. Click Save Changes to update the template name.
View Change History
Users may review changes made to a template over a specified period of time by clicking the View Change History hyperlink located at the top of the screen.
The change history date range defaults to one month's-worth of history. The User may update the date range using the Start Date and End Date fields located in the upper righthand corner. Any corresponding changes will display on the screen. The User may create a PDF of this screen by clicking the Export to PDF button.
OFAC Scan
A User may perform an OFAC Scan by clicking the Scan hyperlink located on the righthand side of the green box at the top of the screen.
Any potential matches will be numbered and may be reviewed. If there are no matches, the scan may be refreshed.
Review or Add Schedule
Review an Attached Schedule
A User may review a schedule attached to a template by clicking the Schedule hyperlink located on the righthand side of the green box at the top of the screen.
In addition to reviewing the template details, the User may also make changes to the schedule details, including the recurring frequency, start date, and adjustment for effective date. A preview of the first few scheduled originations is also displayed in the Preview Schedule section at the bottom of the popup.
If any changes are made, the User must click the Save Changes button. If no changes need to be made, the User may click either the Cancel button or the X in the upper righthand corner of the popup.
Add a New Schedule
A User may add a schedule to a template by clicking the Add Schedule hyperlink located on the righthand side of the green box at the top of the screen.
Complete the following steps to create the schedule to add to the template:
- Select the appropriate frequency from the Recurring Schedule dropdown
- Complete the Recur Every... fields - these may change depending on the frequency selected
- Assign a Start Date
- Indicate the Adjust Effective Date for Non-Business Days option
- Ensure the schedule is set as expected by reviewing the Preview Schedule
- Click Save Changes when the schedule is appropriately set
The schedule is now in a Pending Approval status and must be approved by a second User. Review the Template Approval portion of this article for steps to approve a template.
Search
To filter and search within a template, enter text into the search field at the top of the screen and click the Search button.
Using the Search field will search across the following fields within a template:
Batch
- Company Name
- Company Entry Description
- Company Discretionary Data
- Company Descriptive Date
- Originating DFI ID (8 characters)
- Originator Identification (IAT)
Entry
- Receiving DFI Routing Number (9 characters)
- Receiving Account
- Receiver Name
- Identification Number
- Discretionary Data
- Trace Number
Alternately, Users may utilize the column headers located within the table, and then click the Search button once the criteria has been entered.
Edit Template Details
To update entry detail within the template, click the Template ID hyperlink for the template that needs to be edited. The User may update the Batch information, the Entry information, or both. Any changes made to templates connected to schedules will require dual approval by a second User.
Edit or Delete a Batch
- Click the radio button for the SEC code batch that needs to be edited
- Click the Edit or Delete hyperlink
- Selecting Delete will have the User confirm if the batch will be deleted
- Selecting Editwill allow the User to Edit Batch Details:
- Service Class
- Company Name
- Company ID
- Company Entry Description
- Company Discretionary Data (optional)
- Company Descriptive Date (optional)
When all updates have been made, click Save. Repeat with any additional Batches.
Edit or Delete Entries in a Batch
- Click the radio button for the SEC code batch containing the entry that needs to be edited
- Once the correct batch is selected, the User may utilize the Search the ACH Template field or the column headers to filter and search for the entry to be edited
- Click the Edit or Delete hyperlink
- Selecting Delete will have the User confirm if the entry will be deleted
- Selecting Editwill allow the User to Edit Batch Details:
- Transaction Code
- Amount
- Receiver DFI ID
- Receiver Account
- Receiver Name
- Individual Identification Number
- Discretionary Data (optional)
- Offset Account Type (optional)
- Offset Account ID (optional)
- Exclude (optional)
- Release Date (optional)
- End Date (optional)
- Addenda Record - Add Addenda if needed
When all updates have been made, click Save. Repeat with any additional Entries.
Manual Template Origination
To manually originate a template, the User will click the Originate button, located in the Action column of the corresponding template.
The User will confirm that everything in the template looks correct on the following screen. If changes need to be made, the User will need to first edit the template prior to origination. Steps to edit a template may be found in the Edit Template Details section of this article.
Clicking the radio button for each batch displays corresponding entries in the bottom section of the Entries for selected Batch card. Once the User is satisfied that the template looks correct, the Next Step button may be clicked.
To proceed with originating the file immediately, the Originate this file now box must be checked. The User may click the Create button to proceed with origination of the template.
The originated template will populate in the ACH Files screen and will need to be approved or rejected by a second User.
